Assign hold reason codes to five blocked invoices
- For Accountants
- You practice Showing an example of what you want
- Time about 5 minutes
- Level Beginner
About this exercise
You're triaging the AP hold queue. Write a prompt for a markdown table with columns Invoice | Code | Next owner, one row per invoice, using exactly the codes and owners from the code list. Use only the invoice notes to choose a code. Don't mention vendor pressure or promise payment dates. No commentary. Under 70 words.
Common mistakes when you ask AI for this
- Free-text reasons. The AI writes reasons instead of codes. Try: Say: "Code is exactly one of PO, RCV, PRC, DUP, APR."
- Wrong owner. The AI picks the buyer for the duplicate. Try: Add: "Next owner comes from the code list."
- Mentioning Wexler's pressure. The AI adds that Wexler wants payment Friday. Try: Add: "Do not mention vendor pressure, Friday or payment dates."
- Wrong table shape. The AI adds notes columns. Try: Say: "Columns exactly: Invoice | Code | Next owner."
- Trusting the AI to count words. AI is bad at counting and runs past word limits. Try: Ask for fewer words than the real cap and keep each line short.
What a strong prompt includes
- Names the columns
- Restricts codes
- Uses the owners
- Bans vendor pressure
- Limits output
