About this exercise

You're computing the goods-received-not-invoiced (GRNI) accrual at Oct 31, 2026. Write a prompt for plain text with one line per receipt, formatted "R1: Accrue $X" or "R1: No accrual - reason", then lines starting "GRNI accrual:" (the sum, with the addition) and "Flag:" (a price difference to review). Accrue at the PO price. Only receipts on or before Oct 31 with no invoice posted by Oct 31 are accrued. Under 90 words. No bullets or numbering. Do not mention the buyer or the shipping date.

Common mistakes when you ask AI for this

  • Using the invoice price. The AI accrues R4 at $5.00, $1,000. Try: Add: "Accrue at the PO price; flag later price differences."
  • Accruing the shipped wrap. The AI counts R3 because the buyer says it shipped Oct 30. Try: Add: "Use the receiving date, not the shipping date."
  • Accruing an invoiced receipt. The AI accrues R2 as well, double counting. Try: Add: "Skip receipts with an invoice posted by Oct 31."
  • Markdown extras. The AI adds bold labels, headings and a closing note. Try: Say: "Plain text, no bold. Output only the lines asked for."
  • Trusting the AI to count words. AI is bad at counting and runs past word limits. Try: Ask for fewer words than the real cap and keep each line short.

What a strong prompt includes

  • Shows the receipt lines
  • States the accrual test
  • Uses PO price
  • Uses receiving date
  • Asks for flag line
