Rewrite four vague journal entry descriptions with support
- For Accountants
- You practice Showing an example of what you want
- Time about 5 minutes
- Level Beginner
About this exercise
You're cleaning up journal entry descriptions before the auditors arrive. Write a prompt for exactly 4 numbered lines in plain text, one per entry. Each line follows this pattern: "JE-#: Verb + what - $amount - period - Support: document". Each under 25 words, and use only facts from the entry notes. No intro.
Common mistakes when you ask AI for this
- Leaving out the support. The AI rewrites the verb and drops the document reference. Try: Add: "End each with Support: and the document from the notes."
- Keeping 'per John'. The AI keeps names of approvers in the description. Try: Add: "Do not name the approver or requester."
- Missing amounts or periods. The AI says 'accrual for utilities' with no figure or dates. Try: Say: "Give the exact amount and the period."
- Wrong line count and extras. The AI adds a header, bold and a closing note. Try: Say: "Exactly 4 numbered lines. No intro or notes."
- Trusting the AI to count words. AI is bad at counting and runs past word limits. Try: Ask for fewer words than the real cap and keep each line short.
What a strong prompt includes
- Shows the line pattern
- Asks for amount and period
- Names the support
- Excludes names
- Sets count and length
