Sort an AR dispute log by days open and total the open disputes
- For Accountants
- You practice Asking for a format you can use
- Time about 5 minutes
- Level Intermediate
About this exercise
You're summarizing the open AR disputes for the credit manager as of Nov 6, 2026. Write a prompt for a markdown table with columns Case | Customer | Amount | Days open | Flag, open cases only, oldest first. Flag is "Over 30 days" when open more than 30 days. Then one line starting "Open total:" with the addition. Don't promise credits or comment on who is right. No commentary. Under 90 words.
Common mistakes when you ask AI for this
- Including the resolved case. The AI lists D4 with the others and totals $2,570. Try: Say: "Include only open cases; leave out resolved ones."
- Taking the rep's side. The AI adds that Pine Ridge will pay. Try: Add: "Do not comment on who is right."
- Wrong day counts. The AI counts from the wrong date. Try: Say: "Days open = Nov 6 minus the opened date."
- Trusting the AI to count words. AI is bad at counting and runs past word limits. Try: Ask for fewer words than the real cap and keep each line short.
What a strong prompt includes
- Names the columns
- Limits to open cases
- Sorts oldest first
- Asks for the total line
- Bans comments
