Explain payment terms to a new customer using the current terms sheet
- For Accountants
- You practice Saying who it's for
- Time about 5 minutes
- Level Beginner
About this exercise
You're in accounts receivable welcoming a new customer. Write a prompt for a plain-text email under 110 words whose first line is exactly "Subject: Your payment terms with us". The email states the payment window, the late fee and when it starts, and the accepted payment methods, using the current terms. Do not threaten. End with exactly "Tess, Accounts Receivable".
Common mistakes when you ask AI for this
- Using the old template. The AI mixes in Net 15 or 2%. Try: Say: "Use the current terms sheet effective Sep 1."
- Missing the grace period. The AI says the fee starts on day 31. Try: Add: "The fee starts after a 10-day grace period."
- Threatening tone. The AI warns about collections. Try: Add: "Welcoming tone, no threats."
- Wrong subject or sign-off. The AI invents its own subject line and closing. Try: Add: "First line exactly: Subject: Your payment terms with us. Last line exactly: Tess, Accounts Receivable."
- Markdown extras. The AI adds bold labels, headings and a closing note. Try: Say: "Plain text, no bold. Output only the lines asked for."
- Trusting the AI to count words. AI is bad at counting and runs past word limits. Try: Ask for fewer words than the real cap and keep each part short.
What a strong prompt includes
