Send a QBR recap with only the agreed actions

  • For Customer success managers

About this exercise

Write the recap email to the customer. Line 1 is "Subject:" with 7 words or fewer. One thank-you sentence. Then exactly three lines formatted "Owner - action - date" for the agreed actions only. Last line exactly "Kai, Customer Success". Plain text, under 90 words.

Common mistakes when you ask AI for this

  • Including the maybe. The AI adds the custom report as a fourth action. Try: Say: "Agreed actions only. Leave out the custom report."
  • Including internal tasks. The AI lists the CRM update. Try: Add: "Customer-facing: leave out internal items."
  • Missing owner or date. The AI writes actions as sentences. Try: Say: "Format: Owner - action - date."
  • Getting markdown back. AI adds bold and headings by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
  • Trusting the AI to count words. AI is bad at counting and usually runs long, so a vague "keep it short" lands well over the limit. Try: Cap each part instead of the total, for example "each line under 15 words".

What a strong prompt includes

  • Asks for plain text
  • Sets a length limit
  • Shows the action format
  • Limits to agreed
