Write an IT helpdesk shift handoff as a short checklist
- For IT teams
- You practice Asking for a format you can use
- Time about 5 minutes
- Level Beginner
About this exercise
Your IT helpdesk shift ends at 18:00. Write the handoff for the night tech as a checklist. The first line is exactly "Handoff 18:00 - 3 open", then at most 3 checklist bullets, one per open ticket, P1 first, each with the ticket number and the next step. Leave out closed tickets. Plain text.
Common mistakes when you ask AI for this
- No set first line. The AI opens with its own title, like "Shift Handoff Notes". Try: Give it: "First line exactly: Handoff 18:00 - 3 open".
- Including closed tickets. The AI lists the whole day, so the night tech has to find what's still open. Try: Say: "Only open tickets, P1 first."
- Missing the next step. The AI says what the ticket is but not what to do and when. Try: Add: "Each bullet: ticket number and the next step with its time."
- Letting the list sprawl. AI pads lists with extra bullets to look thorough. Try: Say "at most 3 bullets".
- Getting markdown back. AI adds bold and headings by default, which show up as stray symbols where this is pasted. Try: Say "plain text, no bold, no headings, no asterisks".
What a strong prompt includes
- Gives the first line
- Only open tickets
- Puts P1 first
- Limits the bullets
- Asks for plain text
