Write the cover note that goes on top of a board pack
- For Executive assistants
- You practice Giving the right context
- Time about 5 minutes
- Level Intermediate
About this exercise
Write the one-page cover note for the December board pack. Use exactly three headings in this order: Decisions needed, For information, Withdrawn. Each item gets one line with its tab number. The pricing item was pulled on Nov 18, so it belongs under Withdrawn, and the audit item now follows the corrected date. Under 150 words, no greeting or sign-off.
Common mistakes when you ask AI for this
- Not giving the headings. The AI writes a letter-style note or groups items its own way. Try: Say: "Exactly three headings: Decisions needed, For information, Withdrawn."
- Leaving the withdrawn item in. The pack list still shows Tab 4 for approval, so the AI keeps it there. Try: Add: "The pricing paper was pulled. List it only under Withdrawn."
- Missing the date correction. The AI uses the first audit date it sees. Try: Add: "Use corrected dates from the later emails."
- Trusting the AI to count words. Cover notes grow into multi-paragraph letters. Try: Cap it: "One line per item, under 12 words each."
What a strong prompt includes
- Names the three headings
- Handles the pulled item
- Uses the corrections
- One line per item with tab
- Sets a length
