Triage a week of meeting requests with your exec's rules
- For Executive assistants
- You practice Setting limits and rules
- Time about 5 minutes
- Level Intermediate
About this exercise
You support Maya Okafor, COO. Her rules: no meetings before 9:30, no external meetings on Fridays, vendor pitches go to Raj Patel (Ops lead), and anything with a board member is accepted. Triage the 6 requests into a table with columns Request, Decision, Rule. Decision must be exactly one of Accept, Decline, Delegate to Raj, or Ask Maya. Output only the table, under 160 words.
Common mistakes when you ask AI for this
- Not stating her rules. The AI makes up its own sensible-looking rules and accepts most things. Try: Write her rules in the prompt: "No meetings before 9:30, no external meetings Fridays..."
- Letting it invent decision labels. The AI writes "Maybe" or "Tentative" or long explanations. Try: Say: "Decision is exactly one of Accept, Decline, Delegate to Raj, Ask Maya."
- Not saying what wins in a clash. The board call is before 9:30, and the AI picks a side without telling you. Try: Add: "When two rules clash, choose Ask Maya."
- Trusting the AI to count words. A table plus notes easily runs long. Try: Cap the Rule column: "Rule column under 8 words per row. Output only the table."
What a strong prompt includes
- States her rules
- Fixes the decision labels
- Handles clashes
- Asks for a table
- Sets a length
