About this exercise
Prepare the version of the minutes that goes to the whole department. Plain text, under 150 words, headings Decisions, Actions, Next meeting on their own lines. Include only items marked for circulation. Never include anything marked confidential or discussed in the closed session, and do not mention that a closed session happened. Each action reads Owner - task - date.
Common mistakes when you ask AI for this
- Leaking confidential items. The AI includes salaries or the acquisition. Try: Say: "Exclude everything marked [C], and don't mention a closed session."
- Old meeting date. The AI uses Dec 4. Try: Say: "Next meeting is Dec 5."
- Missing headings. The AI writes a narrative. Try: Say: "Use Decisions, Actions, Next meeting."
- Wrong action format. The AI skips owners or dates. Try: Say: "Owner - task - date."
- Markdown. The AI bolds headings. Try: Say: "Plain text."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each line: "each line under 20 words."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example: "each line under 12 words."
