About this exercise

You're sending one revenue result to three audiences. Write a prompt for plain text with lines starting "Board:", "Sales team:" and "Ops team:", each one sentence. Board is formal, under 30 words, and gives the dollar and percent variance. Sales team is plain, under 30 words, names the drivers, and avoids the word "variance". Ops team is under 25 words and says whether the shipping plan changes. Use only the facts given. Under 110 words.

Common mistakes when you ask AI for this

  • One message for everyone. The AI writes the same text three times. Try: Say: "Write each line for its own reader, with its own length limit."
  • Using jargon for sales. The AI uses the word variance with the sales team. Try: Add: "Sales team: plain words, avoid the word variance."
  • Missing the ops answer. The AI repeats the revenue story for ops. Try: Add: "Ops team: say whether the shipping plan changes."
  • Going over the limits. The AI writes long sentences. Try: Add: "Board and Sales under 30 words; Ops under 25."
  • Markdown extras. The AI adds bold labels, headings and a closing note. Try: Say: "Plain text, no bold. Output only the lines asked for."

What a strong prompt includes

  • Names the three lines
  • Sets the registers
  • Bans the word variance
  • Asks for the ops answer
  • Caps length
