- For FP&A and financial analysts
- You practice Catching mistakes and made-up facts
- Time about 5 minutes
- Level Intermediate
About this exercise
You're reviewing a consulting team's utilization. Write a prompt for plain text with lines starting "Available hours:", "Utilization:", "Gap to target:" and "Hours to close gap:", each with the math. Available hours are already net of leave. Don't mention the manager's explanation about client delays. Under 70 words. No bullets or numbering.
Common mistakes when you ask AI for this
- Using total hours. The AI divides by 5 x 40 x 4 or by 2,080. Try: Say: "Available hours = 5 x 160 (already net of leave)."
- Explaining the gap. The AI mentions client delays. Try: Add: "Do not mention the manager's explanation or client delays."
- Gap in percent of target. The AI computes 6.7% of 75%. Try: Add: "Gap in percentage points: target minus utilization."
- Markdown extras. The AI adds bold labels, headings and a closing note. Try: Say: "Plain text, no bold. Output only the lines asked for."
- Trusting the AI to count words. AI is bad at counting and runs past word limits. Try: Ask for fewer words than the real cap and keep each line short.
What a strong prompt includes
- Names the four lines
- Gives the formulas
- Gives points
- Bans the explanation
- Caps length
