Turn night-shift notes into a 4-line handoff

Practice: Asking for a format you can use. About 5 minutes.

About this exercise

You're a night nurse on 4 West handing off your patient, Walt Brennan (Room 412), to the day nurse. She wants exactly 4 numbered lines with the first task due on her shift at the top, under 80 words, in plain text for the unit's handoff board. Use only your notes, say whether he can eat (the doctor changed that order overnight, so give the newest one), and skip the chatter. Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • Just saying "summarize my notes". The AI picks the shape, and it defaults to long sections in the order things happened. Try: Give the shape: "Exactly 4 numbered lines."
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 80 words" and it often lands well over. Try: Cap each part instead: "each line one sentence under 15 words."
  • Keeping the notes' time order. The AI retells your night from 19:30 on, so the first task due on the day shift gets buried. Try: Say what goes on top: "Line 1: the earliest task due on the day shift and its time."
  • Missing the changed order. "NPO" shows up twice in the notes, so the AI may repeat it even though the doctor cancelled it later. Try: Add: "Where an order changed overnight, give only the newest one, and say whether he can eat."
  • Not saying what to leave out. Without a filter the AI keeps every detail, even the vending machine, and adds bold headings that clutter the board. Try: Add: "Plain text, no bold. Skip personal remarks and add no advice."

What a strong prompt includes

  • Asks for 4 numbered lines
  • Puts the first task due on top
  • Sets a word limit
  • Asks for the newest orders
  • Asks for plain text
