Remind staff about the flu shot documentation deadline
Practice: Keeping the AI to your sources. About 5 minutes.
About this exercise
You're in employee health, reminding clinic staff to submit flu vaccine documentation. Write a first line with the corrected deadline, then exactly 3 numbered ways to submit, each under 12 words, then one line on who to contact, under 70 words, plain text. Name no one who hasn't submitted, and don't mention the consequences policy that's still under review. Write a prompt that gets you exactly that.
Common mistakes when you ask AI for this
- No fixed shape. The AI writes a long memo with background and FAQs. Try: Be exact: "Deadline line, exactly 3 numbered ways, then a contact line."
- Trusting the AI to count words. AI is bad at counting. Ask for "under 70 words" and it often lands well over. Try: Cap each part instead: "each way under 12 words."
- Using the first deadline. Nov 21 appears first; the correction is below it. Try: Add: "The deadline is Monday, Dec 1 (extended)."
- Vague instructions. The AI says "submit through the usual channels". Try: Add: "List the 3 ways: Room B12, HR portal, locked box."
- Pressure and naming. The AI mentions how many haven't submitted or hints at masking rules. Try: Add: "No names or counts. Don't mention consequences."
What a strong prompt includes
- Uses the new deadline
- Sets the number of ways
- Leaves out consequences
- Protects privacy
- Sets a word limit
