Send a new patient a welcome email with the forms deadline

Practice: Keeping the AI to your sources. About 5 minutes.

About this exercise

You're the front desk at a family practice, emailing a new patient before her first visit. Keep it under 90 words, plain text: date, time and arrival time in the first sentence, then exactly 3 bullets of what to bring, then the forms link with the updated deadline. Ask no health questions and add no medical advice. Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • No fixed shape. The AI writes a long welcome letter with headings and every detail. Try: Be exact: "First sentence the visit, then exactly 3 bullets, then the forms line."
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 90 words" and it often lands well over. Try: Cap each part instead: "each bullet under 8 words, other sentences under 20."
  • Burying the when. The AI opens with "Welcome to our practice!" and the time comes later. Try: Add: "First sentence: Wed Nov 19, 9:40 AM; arrive 9:20."
  • Too many bullets. The AI bullets every item, including optional records and parking. Try: Add: "3 bullets: ID, insurance card, medicine list."
  • Using the old forms rule. "Morning of the visit" appears before the update. Try: Add: "Forms due by Monday Nov 17 (48 hours before). No health questions."

What a strong prompt includes

  • Puts the visit first
  • Limits the bullets
  • Uses the new deadline
  • Rules out health questions
  • Sets a word limit
