Answer four staff questions about a new flex-hours policy
- For Managers and team leads
- You practice Keeping the AI to your sources
- Time about 5 minutes
- Level Intermediate
About this exercise
Answer the four staff questions using only the policy text. Format each as "Q: ..." then "A: ..." on the next line, in plain text. Each answer is under 22 words and uses the latest rule if the policy text changes. If the policy does not cover a question, the answer is exactly: Please ask your manager.
Common mistakes when you ask AI for this
- Using the old notice period. The AI says 5 working days. Try: Say: "Use the latest rule if the policy text changes."
- Guessing on the uncovered question. The AI explains hours math. Try: Say: "If the policy does not cover it, answer exactly: Please ask your manager."
- Wrong format. The AI numbers the answers or adds headings. Try: Say: "Q: then A: on the next line."
- Long answers. The AI adds caveats. Try: Say: "Each answer under 22 words."
- Markdown. The AI bolds the questions. Try: Say: "Plain text."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example: "each line under 15 words."
What a strong prompt includes
- Gives the Q/A format
- Restricts to the policy
- Mentions the update
- Gives the exact fallback
- Caps answers
