About this exercise

You run Support Operations and must announce that Tier 2 support moves under Priya Nair. Write the email in plain text, under 150 words. Line 1 is exactly: Subject: Tier 2 support moves to Priya's team on March 3. The first sentence after it states what changes. The last line is the Q&A session date, time and room, with nothing after it. Do not use the words excited or thrilled. Use only confirmed facts.

Common mistakes when you ask AI for this

  • Burying the change. The AI opens with warm background and mentions the actual change in paragraph two. Try: Say: "The first sentence after the subject must state what changes."
  • Ending with a sign-off. The AI closes with 'Best regards' or an invitation to reach out, after the Q&A details. Try: Say: "The last line is the Q&A date, time and room. Nothing after it."
  • Passing on a rumor. The AI uses every note, including the unconfirmed Tier 1 outsourcing talk. Try: Say: "Confirmed facts only. Leave out the outsourcing rumor."
  • Markdown in an email. The AI adds bold headings and bullet symbols that look odd in a plain email. Try: Say: "Plain text only, no bold, no headings."
  • Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example: "each line under 12 words."

What a strong prompt includes

  • Puts the change first
  • Ends on the Q&A details
