About this exercise
Write the reorg memo in plain text under 190 words with exactly these headings on their own lines: What is changing, Why, Who is affected, When, What happens next. Include in What is changing exactly one sentence. State a fact under Who is affected only if the notes mark it approved. Any not-yet-approved item must not appear. HR reviews before sending: add as the final line HR to review before sending.
Common mistakes when you ask AI for this
- Sharing unapproved items. The AI mentions contractor spend or budget. Try: Say: "Include only approved facts."
- Missing headings. The AI writes a narrative. Try: Say: "Use the five headings in order."
- Missing facts. The AI is vague about Orrin or the dates. Try: Say: "Use Maya Chen, Orrin Hale, Jan 13, Dec 3, Dec 13."
- No HR line. The AI ends with a sign-off. Try: Say: "Final line: HR to review before sending."
- Markdown. The AI bolds headings. Try: Say: "Plain text."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each section: "each section under 35 words."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example: "each line under 12 words."
