About this exercise

A furniture store charged your card twice for one delivery fee, and a phone call didn't fix it. Write a short letter to the store under 130 words in plain text. The first sentence asks for a refund of the exact duplicate amount and gives the order number. Include the date and reference number of your call. Don't threaten a lawsuit, chargeback or review. End with "Thank you, Ana Ruiz". Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • Asking for the wrong amount. The AI reads both $89 lines as wrong, or adds the assembly fee, and asks for too much. Try: Add: "Only the second $89 delivery charge on 10/16 is a duplicate."
  • Burying the ask. The AI opens with "I hope this finds you well" and a story, so the refund request lands at the end. Try: Say: "First sentence: ask for the $89 refund and give the order number."
  • Leaving out the call. Without the call details, the store starts over from zero. Try: Add: "Include the 10/20 call with Derek, reference #CC-71344."
  • Picking up threats. The AI follows your sister's idea or adds legal language, which can make the store less helpful. Try: Add: "Polite and firm. No threats. End with: Thank you, Ana Ruiz".
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 130 words" and it often lands well over. Try: Cap each part: "4 short sentences under 20 words each, then the sign-off."

What a strong prompt includes

  • Names the exact amount
  • Puts the ask first
  • Includes the call details
  • Rules out threats
