Turn a freelancer's to-do dump into a deadline-proof week
Practice: Setting limits and rules. About 5 minutes.
About this exercise
You're a freelance designer with a messy to-do dump and next week to plan. You want exactly 5 numbered lines, Monday to Friday, with at most 2 tasks per day, under 80 words, plain text. Every client task must land on or before its deadline, using the date a client just moved, Wednesday afternoon stays empty, and the someday ideas stay off the plan. Write a prompt that gets you exactly that.
Common mistakes when you ask AI for this
- Missing the moved deadline. The dump says Wednesday, and the AI may schedule the flyer edits there. Try: Add: "Use the new Tuesday deadline from Juniper's email."
- Not stating the limits. The AI packs days full and books Wednesday afternoon. Try: Add: "At most 2 tasks a day. Keep Wednesday afternoon empty."
- Keeping the someday list. The AI tries to fit in every item, including wishes and jokes. Try: Add: "Skip the someday items and the desk."
- Letting the AI pick the layout. The AI makes a time-blocked table with bold days and tips. Try: Be exact: "Exactly 5 numbered lines like '1. Mon: Juniper edits; Maple quote reply'. Plain text."
- Trusting the AI to count words. AI is bad at counting. Ask for "under 80 words" and it often lands well over. Try: Cap each part instead: "each line under 11 words."
What a strong prompt includes
- Says how many lines
- Sets a per-day limit
- Uses the moved deadline
- Protects Wednesday afternoon
- Skips the someday items
