Write clinic action items without any patient names

Practice: Setting limits and rules. About 5 minutes.

About this exercise

You're the clinic coordinator turning the outpatient staff meeting notes into action items for the shared staff board, which anyone walking by can see. You want exactly 4 numbered lines, each as Owner - task - due date (month and day), under 60 words, plain text. Include no patient names or details that identify a patient, and turn 'by next huddle' into the real date. Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • Copying patient names. The notes name patients, and the AI copies them onto a board anyone can read. Try: Add: "No patient names or identifying details. Word those tasks generally."
  • Keeping relative dates. The AI writes 'by next huddle', which means nothing next week. Try: Add: "Next huddle is Mon Nov 17. Use calendar dates."
  • Including finished items. The AI lists the cuff as a task even though it's done. Try: Add: "Skip anything already done and the reminders."
  • Letting the AI pick the layout. The AI adds headings and bold names. Try: Be exact: "Exactly 4 numbered lines, Owner - task - due date. Plain text."
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 60 words" and it often lands well over. Try: Cap each part instead: "each line under 10 words."

What a strong prompt includes

  • Says how many lines
  • Bans patient names
  • Converts the date
  • Skips done items
  • Gives the line format
