Fit a nursing unit's start-of-shift huddle into 10 minutes

Practice: Setting limits and rules. About 5 minutes.

About this exercise

You're the charge nurse running tomorrow's 7am huddle on 4 West, which can't go past 10 minutes. You want exactly 4 numbered agenda items, each with its minutes in parentheses, adding up to exactly 10, with the safety item first, under 70 words, plain text for the whiteboard. Your manager moved one topic out of the huddle, so leave it off. Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • Not setting the time math. The AI suggests times that add up to 12 or 15 minutes, or leaves times out. Try: Add: "Put minutes in parentheses on each item, adding up to exactly 10."
  • Not saying what goes first. The AI keeps the sticky-note order, so badge codes lead. Try: Add: "Fall-risk first, and give it the most time."
  • Missing the manager's change. The potluck is in your notes, so the AI includes it. Try: Add: "Leave off the potluck, Denise moved it to the weekly email."
  • Letting the AI pick the layout. The AI writes a full agenda with headings and talking points that won't fit a whiteboard. Try: Be exact: "Exactly 4 numbered items, one short line each. Plain text."
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 70 words" and it often lands well over. Try: Cap each part instead: "each line under 12 words."

What a strong prompt includes

  • Says how many items
  • Sets the time limit
  • Puts safety first
  • Drops the moved topic
  • Sets a word limit
