Log hiring decisions with job-related reasons only

Practice: Setting limits and rules. About 5 minutes.

About this exercise

You're the recruiter recording the hiring committee's debrief in the applicant tracking system. You want exactly 4 numbered lines, one per candidate, each as Name - Advance, Reject or Hold - a job-related reason under 10 words, under 70 words, plain text. Use the final decision after the reference check, and keep out any comment that isn't about the job, like age or family. Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • Using the first decisions. The updates come after the debrief, so the AI logs Sofia and Dev as Hold. Try: Add: "Use the final decision after the updates."
  • Copying improper comments. The notes include remarks about age and kids, and the AI may repeat them as reasons. Try: Add: "Job-related reasons only. Nothing about age, family or kids."
  • Not giving the line shape. The AI writes paragraphs per candidate. Try: Add: "Each line: Name - decision - reason under 10 words."
  • Letting the AI pick the layout. The AI adds headings and a table. Try: Be exact: "Exactly 4 numbered lines, plain text."
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 70 words" and it often lands well over. Try: Cap each part instead: "each line under 12 words."

What a strong prompt includes

  • Uses the final decisions
  • Job-related reasons only
