Build a 90-minute team offsite agenda with a required item

Practice: Setting limits and rules. About 5 minutes.

About this exercise

You're running a 90-minute planning session at your team's offsite. You want exactly 5 numbered agenda items with minutes that add up to 90, under 50 words, plain text. Include the item your director requires, and leave out the topic HR asked you to handle privately. Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • No time math. The AI writes a 2-hour agenda or leaves minutes off. Try: Add: "Minutes on each item, adding up to exactly 90."
  • Missing the required item. The AI builds the agenda from your list only. Try: Add: "Include the 20-minute callback policy item."
  • Including private topics. The AI adds 'headcount' as a planning topic. Try: Add: "Leave out anything HR said is 1:1 only."
  • Letting the AI pick the layout. The AI writes a full agenda with descriptions. Try: Be exact: "Exactly 5 numbered items, plain text."
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 50 words" and it often lands well over. Try: Cap each part instead: "each line under 8 words."

What a strong prompt includes

  • Says how many items
  • Sets the time math
  • Includes the required item
  • Leaves out private topics
  • Sets a word limit
