Approve or deny shift swaps using the warehouse rules

Practice: Setting limits and rules. About 5 minutes.

About this exercise

You supervise a warehouse shift and have four shift swap requests to answer. You want exactly 4 numbered lines, one per request, each as names - Approve or Deny - reason under 8 words, under 60 words, plain text. Apply the two rules in your notes (overtime limit and a certified forklift driver on every shift), using the hours each person is already scheduled. Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • Not doing the hours math. The AI approves swaps without checking who goes over 40. Try: Add: "Check each person's hours after the swap: no one over 40."
  • Forgetting the forklift rule. The AI approves a swap that leaves a shift with no certified driver. Try: Add: "Every shift needs a forklift-certified driver."
  • Dropping the reasons. The AI says approve or deny without why, and staff push back. Try: Add: "Give a reason under 8 words."
  • Letting the AI pick the layout. The AI writes a table with all the hours math. Try: Be exact: "Exactly 4 numbered lines like '1. Bree to Dina - Approve - Dina at 40 hrs'. Plain text."
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 60 words" and it often lands well over. Try: Cap each part instead: "each line under 10 words."

What a strong prompt includes

  • Says how many lines
  • States the hours rule
  • States the forklift rule
  • Asks for reasons
  • Shows the line shape
