Build a photo shoot run sheet around daylight and arrivals

Practice: Setting limits and rules. About 5 minutes.

About this exercise

You're running a one-day product photo shoot for a coffee brand and need a run sheet for the crew's group text. You want exactly 6 numbered lines in time order, each with a start time and the shot, under 80 words, plain text. Outdoor shots must finish before the 4:30 sunset, use the model's new arrival time, and include only shots on the client's approved list. Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • Missing the model's new time. The 9:00 arrival is in the notes, so the AI books model shots in the morning. Try: Add: "Tess can't arrive before 1:00 pm. Put both model shots after that."
  • Ignoring daylight. The AI may push the outdoor shot to the end of the day, after sunset. Try: Add: "The orchard shot must finish before the 4:30 sunset."
  • Adding your ideas. The AI treats every idea in the notes as part of the plan. Try: Add: "Only shots on the client-approved list."
  • Letting the AI pick the layout. The AI makes a table with bold headings and crew notes. Try: Be exact: "Exactly 6 numbered lines, each starting with a time. Plain text."
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 80 words" and it often lands well over. Try: Cap each part instead: "each line under 9 words."

What a strong prompt includes

  • Says how many lines
  • Uses the new arrival
  • Mentions sunset
  • Sticks to approved shots
  • Starts lines with times
