Build a renewal call prep checklist from a messy account file

About this exercise

You have a renewal call with Lakeshore Dental Group on Thursday. Make a prep checklist of exactly 6 lines, each starting with "[ ]", that you can tick off before the call. The first line must be about the attendee change (their new CFO is joining). Use the current price of $21 per seat, not the old $18, and include the open support ticket. Plain text, under 110 words.

Common mistakes when you ask AI for this

  • Getting a prep essay. The AI writes a long briefing with headings instead of a checklist you can tick off. Try: Give the shape: "Exactly 6 lines, each starting with [ ]."
  • Burying the biggest change. The AI lists items in the file's order, so the CFO joining ends up near the bottom. Try: Add: "First line: prepare for the new CFO joining."
  • Using the old price. The contract says $18 but renewals are now $21, and the AI may quote the first figure. Try: Add: "Use the current renewal price, $21 per seat."
  • Trusting the AI to count words. AI is bad at counting and runs long when you only give a total like 110 words. Try: Cap each part instead, like "each line under 15 words," so the total lands well under 110.
  • Forgetting it's plain text. AI adds bold labels and headings, which show up as stray symbols in a printed checklist. Try: Add: "Plain text only. No bold, no headings."

What a strong prompt includes

  • Sets the checkbox shape
  • Puts the CFO first
  • Gives the current price
  • Mentions the ticket
  • Asks for plain text
