Turn an IT downtime notice into a front desk card
- For Nurses and healthcare workers
- You practice Asking for a format you can use
- Time about 5 minutes
About this exercise
IT is taking the scheduling system down for a security update. Make a card for the front desk with exactly 4 lines starting 'Start:', 'End:', 'Use instead:' and 'Call:'. Use the corrected times, and only the backup steps for the front desk. Plain text, under 60 words.
Common mistakes when you ask AI for this
- Using the first times. The AI picks the original window and misses the update. Try: Say: "Use the updated times from Nov 6."
- Everyone's instructions. The AI includes nursing and lab steps the front desk doesn't need. Try: Add: "Only the front desk's backup steps."
- No card shape. The AI writes a paragraph or a bulleted summary with a heading. Try: Give the lines: "Start:, End:, Use instead:, Call:"
- Trusting the AI to count words. AI is bad at counting. Ask for "under 60 words" and it often lands well over. Try: Ask for less than the limit and cap each line: "each line under 15 words, under 45 words total."
- Letting markdown in. AI adds bold and headings by default, and in a printed card they show up as stray symbols. Try: Add: "Plain text only, no bold, no headings."
What a strong prompt includes
- Gives the card lines
- Uses the updated times
- Keeps it to the front desk
- Sets a word limit
- Asks for plain text
