Turn tabletop exercise notes into owned action items

  • For Managers and team leads
  • You practice Asking for a format you can use
  • Time about 5 minutes

About this exercise

Turn yesterday's tabletop exercise notes into the follow-up list. Write exactly 4 numbered action items like '1. action - Owner: name - Due: date', using only owners and dates from the notes. Skip anything already fixed during the session and ideas the group turned down. Plain text, under 90 words.

Common mistakes when you ask AI for this

  • Including what's done. The AI lists every gap, including the insurance number Ben already fixed. Try: Say: "Skip anything fixed during the session."
  • Turning ideas into tasks. The AI adds 'evaluate a second backup product', which the group rejected. Try: Add: "Skip ideas the group turned down or didn't date."
  • No owner or date. The AI writes 'improve restore testing' with nobody on the hook. Try: Show the shape: "action - Owner: name - Due: date."
  • A full debrief report. The AI writes sections for what went well, gaps and next steps. Try: Be exact: "Exactly 4 numbered action items, nothing else."
  • Letting markdown in. AI adds bold and headings by default, and in the follow-up email they show up as stray symbols. Try: Add: "Plain text only, no bold, no headings."

What a strong prompt includes

  • Asks for owners and dates
  • Skips done and rejected items
  • Says exactly how many
  • Keeps it to the material
  • Asks for plain text
