Write a no-blame door security reminder
- For Office and admin
- You practice Getting the tone right
- Time about 5 minutes
About this exercise
After someone followed an employee through the badge door last week, facilities wants a reminder in the office channel. Open with the one rule, give the exact words to say to someone without a badge, and end with who to call. Don't name or hint at the employee involved, and keep a friendly tone. Plain text, under 60 words.
Common mistakes when you ask AI for this
- Retelling the incident. The AI opens with the story, which points at the employee involved. Try: Say: "Don't name or hint at the person. Open with the rule."
- Vague advice. The AI says 'politely ask them to use reception' without the words to use. Try: Ask: "Include the exact words to say from the notes."
- Sounding like a lecture. The AI writes 'it is mandatory' and 'violations will be reported'. Try: Add: "Friendly tone, like a neighbor reminding you."
- Trusting the AI to count words. AI is bad at counting. Ask for "under 60 words" and it often lands well over. Try: Ask for less than the limit and cap each line: "each line under 15 words, under 45 words total."
- Letting markdown in. AI adds bold and headings by default, and in the office channel they show up as stray symbols. Try: Add: "Plain text only, no bold, no headings."
