- For Accountants
- You practice Asking for a format you can use
- Time about 5 minutes
- Level Beginner
About this exercise
You're correcting an invoice sent with the wrong quantity. Write a prompt that fills a plain-text template with lines starting "Credit memo:", "Rebill invoice:", "Net change:" and "Customer note:". Use the quantity the customer ordered and we shipped. Credit the whole original invoice, then rebill the correct amount. The Customer note is one polite sentence with no blame. Show the math. Under 80 words.
Common mistakes when you ask AI for this
- Using the sales order. The AI rebills 12 units. Try: Say: "Use the quantity ordered and shipped, 10 units."
- Crediting only the difference. The AI credits $900 and keeps the old invoice. Try: Add: "Credit the whole original invoice, then rebill."
- Assigning blame. The AI explains our keying error to the customer. Try: Add: "One polite sentence, no blame."
- Missing labels. The AI writes a paragraph. Try: Add: "Four lines with these exact labels."
- Markdown extras. The AI adds bold labels, headings and a closing note. Try: Say: "Plain text, no bold. Output only the lines asked for."
- Trusting the AI to count words. AI is bad at counting and runs past word limits. Try: Ask for fewer words than the real cap and keep each part short.
What a strong prompt includes
- Names the four lines
- Uses the shipped quantity
- Credits the whole invoice
- Asks for the math
- Caps length
