Recount appointment no-shows after same-day reschedules
Practice: Giving the right context. About 5 minutes.
About this exercise
The front office wants October no-show rates by provider. Your clinic doesn't count a same-day cancellation that rebooked as a no-show. The goal is under 12%. Write exactly 3 numbered lines, each as Provider: real no-shows ÷ appointments = X%, then MET or ABOVE, then one unnumbered last line naming any provider above goal. Plain text, under 70 words.
Common mistakes when you ask AI for this
- Trusting the system's label. The AI counts rebooked cancellations, so Lin and Ortiz look above goal. Try: Add: "Same-day cancels that rebooked aren't no-shows."
- Not giving the goal. The AI can't mark MET or ABOVE without it. Try: Add: "Goal: under 12%."
- Not asking to see the work. Bare rates hide what was subtracted. Try: Add a line to copy: "1. Dr. Lin: (24 − 4) ÷ 200 = 10% MET"
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each line: "each line under 12 words."
- Forgetting where it goes. AI loves markdown tables and bold, which show up as clutter in a front office huddle note. Try: Add: "Plain text, no bold, headings or tables."
What a strong prompt includes

- Gives the goal
