Match a supplier invoice against the PO and what arrived
Practice: Giving the right context. About 5 minutes.
About this exercise
Before approving a supplier invoice, you check it against the purchase order (PO) and what was received. Your rule: pay only for items received, at the PO price. Write exactly 3 numbered lines, one per item, each as Item: received x PO price = $X (and what the invoice says), then one unnumbered last line: Pay: $X (invoice says $Y). Plain text, under 80 words.
Common mistakes when you ask AI for this
- Not giving your rule. The AI approves the invoice as billed. Try: Add: "Pay only for items received, at the PO price."
- Not asking to see the work. AP needs each line to short-pay the invoice. Try: Add a line to copy: "2. Toner: 8 x $90 = $720 (invoice: 10 x $90 = $900)"
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each line: "each line under 16 words."
- Forgetting where it goes. AI loves markdown tables and bold, which show up as clutter in an AP approval note. Try: Add: "Plain text, no bold, headings or tables."
What a strong prompt includes
- Gives your rule
- Asks to show the math
- Asks for the amount to pay
- Sets a word limit
- Asks for plain text
