Measure meeting room use by check-ins, not bookings
Practice: Giving the right context. About 5 minutes.
About this exercise
Facilities asked how much each meeting room was really used last week. They count only checked-in hours, out of 40 available hours per room. Write exactly 4 numbered lines, one per room, each as Room: hours ÷ 40 = X%, then one unnumbered last line naming the least-used room. Plain text, under 60 words.
Common mistakes when you ask AI for this
- Using booked hours. The AI divides booked hours, which include forgotten recurring holds. Try: Add: "Use checked-in hours only, out of 40."
- Not showing the division. Bare percents hide which column the AI used. Try: Add a line to copy: "1. Cedar: 22 ÷ 40 = 55%"
- Getting a recommendation essay. The AI writes paragraphs about phone booths and coffee machines. Try: Add: "Then one line naming the least-used room. Nothing else."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each line: "each line under 8 words."
- Forgetting where it goes. AI loves markdown tables and bold, which show up as clutter in a facilities ticket. Try: Add: "Plain text, no bold, headings or tables."
What a strong prompt includes
- Says which hours count
- Gives the available hours
- Asks to show the math
- Sets a word limit
- Asks for plain text
