Reconcile meeting notes and chat into a decision checklist
- For Project managers
- You practice Keeping the AI to your sources
- Time about 5 minutes
- Level Advanced
About this exercise
Two people took notes in the same pricing meeting, and they disagree. Write a checklist of what was decided, one line per decision in the form "[ ] Decision - Owner - Date". When the two sources disagree, use the chat log (it was written live) and add (notes differ) to that line. Leave out anything that wasn't decided. Plain text, under 110 words.
Common mistakes when you ask AI for this
- Not showing the line format. The AI writes minutes with headings and paragraphs. Try: Show it: "[ ] Decision - Owner - Date, one per line."
- No rule for disagreements. The AI blends the two sources or picks the tidier notes. Try: Add: "When they disagree, use the chat log and add (notes differ)."
- Listing things that weren't decided. Jordan's notes call freemium decided, and the AI copies it. Try: Add: "Only include decisions the chat confirms. Skip deferred items."
- Trusting the AI to count words. Explanations of each disagreement push it over the limit. Try: Say: "Each line under 16 words. No notes after the list."
What a strong prompt includes

- Says which source wins
- Flags disagreements
- Excludes undecided items
