Build a call list of patients you still need to reschedule

Practice: Giving the right context. About 5 minutes.

About this exercise

Dr. Patel is out Friday, and you're at the front desk calling her patients to move them. You need a list of only the patients you still have to call (not the ones already handled, and not another doctor's patients): exactly 4 numbered lines with name, phone and the slot to offer, under 70 words, plain text, nothing else. Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • Asking for "the patients to reschedule". The AI lists every one of Dr. Patel's patients, including Sam (already rebooked) and Helen (cancelled), because it doesn't know what you've handled. Try: Add: "Only patients I still need to call. Skip anyone already rebooked or who cancelled, and Dr. Kim's patients."
  • Not saying what each line needs. The AI writes a paragraph per appointment or drops the phone number you need to dial. Try: Say the shape: "One numbered line per patient: name, phone, slot to offer."
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 70 words" and it often lands well over. Try: Cap each part instead: "each line under 12 words."
  • Letting extras in. The AI adds an intro, notes about every patient, and bold names you don't need while dialing. Try: Add: "Output only the numbered list. Plain text, no bold."

What a strong prompt includes

  • Says only patients still to call
  • Says what goes on each line
  • Sets the number of lines
  • Sets a word limit
  • Asks for only the list
