Plan a new hire's first week around real schedules
Practice: Giving the right context. About 5 minutes.
About this exercise
A new account coordinator starts Monday, and you're sending her manager a first-week plan. Write exactly 5 numbered lines, one per weekday, each as 'Day: one main activity - who', plain text, under 80 words. Schedule around who is actually available and when equipment arrives, using the latest updates in your notes.
Common mistakes when you ask AI for this
- Asking for 'an onboarding plan'. The AI writes a 30-60-90 plan with headings and many tasks per day. Try: Be exact: "Exactly 5 numbered lines, one per weekday, one main activity each. Plain text."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each line instead: "each line under 12 words."
- Missing the laptop delay. The AI schedules laptop setup on Monday because the first note says so. Try: Add: "The laptop arrives Tuesday, so setup is Tuesday."
- Ignoring availability. The AI places meetings with people who are out. Try: Add: "Ines is out Wed. Paul is out Wed-Thu."
- No line shape. The AI mixes formats and forgets to say who runs each activity. Try: Show it: "1. Mon: HR orientation and I-9 paperwork - Hana".
What a strong prompt includes
- Uses the laptop update
- Checks availability
- One thing per day
- Shows the line shape
- Asks for plain text
