Reply to Kofi in plain text, under 90 words. First line exactly: Subject: Re: Referral bonus for Lila Ahmed. Say whether the program's two conditions are met using the dates in the notes, but say the People Team confirms the payment, not you. Do not promise a payment date. Last line exactly: Thanks, People Team. HR reviews before sending.
Common mistakes when you ask AI for this
- Old program. The AI says $500 now and $500 later. Try: Say: "Use the rules updated Jan 2026: one $1,000 payment."
- Promising a date. The AI says 'you'll get it on Nov 27'. Try: Say: "Do not promise a payment date; People Team confirms."
- Exact lines. The AI writes its own subject and sign-off. Try: Say: "First and last lines exactly as given."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example: "each line under 15 words."
- Markdown. The AI bolds words or adds headings. Try: Say: "Plain text, no bold, no headings."
