Put the paid sick leave rules on a pocket card
Practice: Asking for a format you can use. About 5 minutes.
About this exercise
Warehouse employees keep asking how paid sick leave works. Write exactly 3 lines labeled Earn:, Use:, and Tell:, each one plain sentence, plain text, under 65 words, using the policy as updated. Don't explain anything the policy says varies by state; point people to HR for that.
Common mistakes when you ask AI for this
- Asking to 'explain the policy'. The AI writes a formal summary with headings and policy terms. Try: Show the shape: "3 lines labeled Earn:, Use:, Tell:."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each line instead: "each line under 18 words."
- Using the old rate. The old accrual rate appears first, with the update below it. Try: Add: "Use the Jan 1 update: 1 hour per 30 worked, up to 48 a year."
- Policy words and state rules. The AI copies 'accrual' and tries to explain local laws. Try: Add: "Simple words. No state rules; point to HR."
What a strong prompt includes
- Shows the labels
- Uses the update
- Keeps words simple
- Routes state rules
- Sets a word limit
