Write a staff memo on the new check-in kiosks
Practice: Asking for a format you can use. About 5 minutes.
About this exercise
You're the practice manager announcing new check-in kiosks to front desk staff. Write a first line with the go-live date, then exactly 4 numbered steps staff follow when a patient arrives, each starting with a verb and under 14 words, under 80 words total, plain text. Use the vendor's rescheduled date and leave out the IT background. Write a prompt that gets you exactly that.
Common mistakes when you ask AI for this
- No fixed shape. The AI writes a memo with headings, an FAQ and a background section. Try: Be exact: "First line the go-live date, then exactly 4 numbered steps."
- Trusting the AI to count words. AI is bad at counting. Ask for "under 80 words" and it often lands well over. Try: Cap each part instead: "each step under 14 words."
- Using the first date. The vendor's first email says Nov 10, and the AI may use it. Try: Add: "Go-live is Nov 17 (rescheduled)."
- Vague or reordered steps. The AI writes "assist patients as needed" or mixes up the order. Try: Add: "Steps in arrival order, each starting with a verb."
- Including the tech details. The AI explains VLANs and syncing, which staff don't need. Try: Add: "Leave out the IT background."
What a strong prompt includes
- Uses the new date
- Sets the number of steps
- Starts steps with verbs
- Drops the IT details
- Sets a word limit
