Transfer a chat customer without making her start over
Practice: Giving the right context. About 5 minutes.
About this exercise
You're transferring a live-chat customer to the billing team. Write the message in at most 2 sentences, plain text: start with her first name, say which team she's going to and the current wait time, and tell her she won't need to repeat her details because you've passed along a summary. No "please hold" or "your call is important" lines, no "thank you for your patience", and no apology. Write a prompt that gets you exactly that.
Common mistakes when you ask AI for this
- Writing a speech. The AI writes a paragraph of thanks, apologies and next steps. Try: Add: "At most 2 sentences."
- A generic opener. The AI starts with "Thank you for your patience" instead of her name. Try: Add: "Start with her first name."
- Using the old wait time. The 2-minute wait appears first; the update says 5. Try: Add: "Billing wait is about 5 minutes now."
- Making her repeat herself. The AI doesn't mention the summary, so she expects to explain it a third time. Try: Add: "Say she won't need to repeat anything; I passed along a summary. No 'please hold' or apology."
- Adding formatting. Chat windows show bold and headings as stray symbols. Try: Add: "Plain text only."
What a strong prompt includes
- Starts with her name
- Uses the current wait
- Says she won't repeat herself
- Bans script lines
- Limits the sentences
