About this exercise

You're announcing a 4-day week pilot at your print shop, and your notes conflict with your accountant's email. Write exactly 5 numbered questions staff will ask (Q1: to Q5:), each followed by an answer line starting "A:" under 25 words. Where the accountant's email changed something, use the email. Anything not decided gets the answer "Not decided yet; we'll tell you by Jan 15." Plain text, under 230 words.

Common mistakes when you ask AI for this

  • Using your first draft. The AI uses the 36-hour overtime line from your notes and misses the accountant's correction. Try: Add: "Where Dee's email changes something, use the email: overtime is over 40 hours."
  • Guessing on open items. The AI invents a PTO rule to sound complete. Try: Add: "For anything not decided, answer: Not decided yet; we'll tell you by Jan 15."
  • Writing a memo instead. The AI writes an announcement with headings and no Q&A. Try: Show the shape: "Q1: ... then A: ... on the next line, exactly 5."
  • Bold questions. The AI bolds every question. Try: Add: "Plain text, no bold."
  • Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead: "each line under 15 words."

What a strong prompt includes
