Build a timed 30-minute one-on-one agenda from three weeks of notes
- For Managers and team leads
- You practice Asking for a format you can use
- Time about 5 minutes
- Level Intermediate
About this exercise
Build the agenda for Thursday's one-on-one with Rafa in plain text with exactly four lines, labeled Carry-over:, His topics:, My topics:, Career: in that order. End each line with the minutes in parentheses, like (8 min). The four times add up to exactly 30. Carry-over is only items still open, and His topics are the ones he asked for. Put the longest time on His topics.
Common mistakes when you ask AI for this
- Listing closed items. The AI includes the standing desk and the dashboard bug. Try: Say: "Carry-over is only items still open."
- Times that do not add up. The AI picks times that sum to 28 or 35. Try: Say: "The four times add up to exactly 30."
- Wrong emphasis. The AI gives the manager the most time. Try: Say: "Put the longest time on His topics."
- Wrong labels. The AI uses headings and bullets. Try: Say: "Exactly four lines with these labels in order."
- Markdown. The AI bolds labels. Try: Say: "Plain text."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each part instead, for example: "each line under 15 words."
What a strong prompt includes
- Lists the four labels
- Minutes format
- Add up to 30
- Open items only
- Longest on his topics
