Decide which recurring meetings to keep, shorten or cancel
Practice: Giving the right context. About 5 minutes.
About this exercise
You're auditing your team's recurring meetings using the rules your team agreed. Write exactly 4 numbered lines in the form 'Meeting - Keep, Shorten or Cancel - reason', plain text, under 80 words, in the order listed. Apply the rules exactly, using the attendance data, not how people feel about each meeting.
Common mistakes when you ask AI for this
- Asking 'which meetings should I cut'. The AI gives opinions and general meeting tips. Try: Be exact: "Exactly 4 numbered lines 'Meeting - Keep/Shorten/Cancel - reason'. Plain text."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each line instead: "each line under 16 words."
- Going by feelings. The AI keeps the Wednesday sync because people like it, or cuts Friday because it's 'cheesy'. Try: Add: "Apply our rules exactly. Ignore how people feel."
What a strong prompt includes
- Uses the team rules
- Ignores feelings
- Shows the line shape
- Sets the number of lines
- Sets a word limit
