Fill in an end-of-shift handoff from messy notes
Practice: Showing an example of what you want. About 5 minutes.
About this exercise
Your team uses a 4-line end-of-shift handoff. Fill it in from tonight's messy notes as exactly 4 lines labeled Open issues:, Waiting on:, Watch for: and Done:, plain text, under 70 words. Use only items that are still true at the end of the shift, and leave out chatter.
Common mistakes when you ask AI for this
- Asking to 'summarize the shift'. The AI retells the night in time order, with headings. Try: Show the shape: "4 lines labeled Open issues:, Waiting on:, Watch for:, Done:."
- Trusting the AI to count words. AI is bad at counting. Ask for a total word limit and it often lands over it. Try: Cap each line instead: "each line under 18 words."
- Listing fixed items as open. The printer jam and late truck appear as problems, and the AI may keep them open. Try: Add: "Only what's still true at shift end. Fixed items go under Done."
- Keeping the chatter. The AI includes the pizza and who called out. Try: Add: "No chatter."
What a strong prompt includes
- Shows the labels
- Uses end-of-shift status
- Drops chatter
- Says who reads it
- Sets a word limit
