Build a follow-up agenda from only the unresolved questions

Practice: Giving the right context. About 5 minutes.

About this exercise

Today's office move planning meeting settled some things and left others open, and you're setting the agenda for next week's follow-up. You want exactly 4 numbered items, only questions still open, each as question - who brings the answer, under 50 words, plain text. Leave out everything already decided, including the one that looked open at first but got settled at the end. Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • Summarizing the whole meeting. The AI lists decisions too, because they're the most complete items in the notes. Try: Add: "Only questions still open. Leave out anything decided."
  • Missing the late settlement. Shredding looks open until the last line. Try: Add: "Check the end of each item; shredding was settled."
  • Dropping who brings the answer. The AI lists questions without owners, so nobody comes prepared. Try: Add: "Each item: question - who brings the answer."
  • Letting the AI pick the layout. The AI writes a full agenda with times and headings. Try: Be exact: "Exactly 4 numbered items, plain text."
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 50 words" and it often lands well over. Try: Cap each part instead: "each line under 8 words."

What a strong prompt includes

  • Says how many items
  • Only open questions
  • Names who brings answers
  • Catches the late settlement
  • Sets a word limit
