Turn a brokerage sales meeting into agent action items
Practice: Giving the right context. About 5 minutes.
About this exercise
You're the office admin at a real estate brokerage and post action items after each Tuesday sales meeting. You want exactly 4 numbered lines, each as Agent - task - due date (month and day), under 60 words, plain text. Turn 'before next sales meeting' into the real date, and use the agent who took over a task. Write a prompt that gets you exactly that.
Common mistakes when you ask AI for this
- Keeping relative dates. The AI writes 'before next sales meeting'. Try: Add: "Meetings are Tuesdays; the next one is Nov 18."
- Missing the swap. The original owners are listed first. Try: Add: "Sophie and Devon swapped caterer quotes and the market report."
- Including reminders. The AI lists the education credits as an action. Try: Add: "Only action items, not reminders."
- Letting the AI pick the layout. The AI adds headings and bold names. Try: Be exact: "Exactly 4 numbered lines, plain text."
- Trusting the AI to count words. AI is bad at counting. Ask for "under 60 words" and it often lands well over. Try: Cap each part instead: "each line under 10 words."
What a strong prompt includes
- Says how many lines
- Converts the date
- Handles the swap
- Gives the line format
- Sets a word limit
