Turn a client QBR into follow-ups for both companies

Practice: Giving the right context. About 5 minutes.

About this exercise

You just ran a quarterly business review with a client and are emailing the follow-ups to everyone who attended. You want exactly 4 numbered lines, each as Name (company) - action - due date (month and day), under 60 words, plain text. Turn 'end of month' into the real date, and leave out your internal upsell notes since the client will read it. Write a prompt that gets you exactly that.

Common mistakes when you ask AI for this

  • Keeping vague dates. The AI writes 'end of month'. Try: Add: "End of month is Jan 31."
  • Leaking internal notes. The AI includes the Premium upsell. Try: Add: "The client will read this. Leave out internal notes."
  • Dropping the company. The AI lists first names only, so the client can't tell whose task it is. Try: Add: "Each line: Name (company) - action - date."
  • Letting the AI pick the layout. The AI writes a recap email with headings. Try: Be exact: "Exactly 4 numbered lines, plain text."
  • Trusting the AI to count words. AI is bad at counting. Ask for "under 60 words" and it often lands well over. Try: Cap each part instead: "each line under 10 words."

What a strong prompt includes

  • Says how many lines
  • Converts the date
  • Hides internal notes
  • Shows the line shape
  • Sets a word limit
