Turn an all-hands recap into a correct 4-question FAQ
- For Office and admin
- You practice Keeping the AI to your sources
- Time about 5 minutes
About this exercise
Coworkers who missed the all-hands want a quick FAQ. Write exactly 4 numbered lines, each 'Q: question A: answer', with each answer under 15 words, covering the move date, parking, desks and the shuttle. The notetaker got one fact wrong, so answer from the transcript. Plain text, under 110 words.
Common mistakes when you ask AI for this
- Repeating the notetaker. The recap says parking is free, and the AI repeats it. Try: Add: "Answer from the transcript; the recap may be wrong."
- Thin answers. The AI writes 'A shuttle will run' without the times people need. Try: Add: "Include the shuttle frequency and hours."
- A memo, not an FAQ. The AI writes a friendly paragraph recap. Try: Show it: "1. Q: When do we move? A: Monday, Nov 3."
- Markdown. The AI bolds the questions. Try: Add: "Plain text, no bold."
- Trusting the AI to count words. AI is bad at counting words, so a total word cap usually lands over. Try: Cap each answer: "each answer under 15 words."
What a strong prompt includes
- Uses the transcript
- Shows the Q/A format
- Lists the topics
- Sets the count
- Caps the answers
