Order the office's contract renewals by notice deadline
- For Office and admin
- You practice Keeping the AI to your sources
- Time about 5 minutes
About this exercise
You track the office's service contracts. Write one numbered line per contract that still needs action, earliest notice deadline first, as 'Notice by date - contract - Renew or Cancel (detail)'. Then add an unnumbered last line starting 'Already done:' for the contract finance has handled. Plain text, under 90 words.
Common mistakes when you ask AI for this
- Keeping the handled contract. The Loft is in your notes, and the AI schedules it again. Try: Add: "Finance already cancelled The Loft. Put it on an 'Already done:' line."
- Sorting by renewal date. The AI sorts by when contracts renew, not by when notice is due. Try: Add: "Sort by notice deadline, earliest first."
- Losing the details. The AI says 'renew' for software without the seat change. Try: Add: "Include the detail, like 'Renew (3 seats)'."
- A table with bold headers. The AI makes a markdown table with commentary. Try: Show it: "1. Feb 10 - Parking permits - Renew". Plain text.
- Trusting the AI to count words. AI is bad at counting words, so a total word cap usually lands over. Try: Cap each line: "each line under 12 words."
